Booking Terms and Conditions 2025

OVERVIEW

1) Your registration constitutes a legally binding contract and by confirming your booking, you are legally obliged to make payment for all fees as applicable by your registration. The delegate fee includes access to copies of the presentations recorded by OFC, and available on the OFC website.

2) Full payment is required to be made by Credit/Debit card at the time of registration. A BACS transfer. A BACS transfer is only available for bulk bookings of 5 tickets or more, and must be paid within 3 working days of an invoice being raised. In order to pay by this method, please contact secretariat@ofc.org.uk The Oxford Farming Conference reserves the right to refuse entry or to cancel the registration for any delegate who has not paid in full by the due date

3) Changes to your booking, including cancellations and replacement delegates, must be notified to us in accordance with the cancellation policy.

4) The organisers reserve the right to alter the programme, including the date and time of the event and its speakers, without prior notice. In the unlikely event of the conference being cancelled, the organisers will refund in full all registration fees only but accept no further liability for the delegate costs or losses incurred.

5) For online content, the organisers reserve the right to change the software platform without prior notice. The OFC takes no responsibility for the compatibility of the delegate's operating systems with the conference software platform or for the sufficiency of the delegate's internet connectivity.

6) If the conference takes place but you are unable to attend whole or part for any reason, the terms of the Cancellation Policy apply. For the avoidance of doubt, delegates registering as Scholars, Inspire, Bursary or any other OFC programme, will not receive a refund if they are unable to attend both the pre-conference programme itinerary and conference for any reason beyond the Oxford Farming Conference's control.

7) The Oxford Farming Conference records all proceedings. Delegates consent for their questions and comments to be included in all documents, photographs and videos based on the event.

8) Any delegates wishing to take photographs or make audio or video recordings of any part of the event must first obtain permission from The Oxford Farming Conference with as much notice as possible, principally as a courtesy to speakers and other participants whose agreement will be sought. Delegates agree not to publish any portion of the proceedings they may have recorded without permission. If permission is granted this is on the strict understanding that only brief extracts will be used, that they will not be used in a misleading context and that the speaker and any organisation they represent, and the OFC are acknowledged.

09) Delegates are required to self-regulate in relation to Covid. Please refer to the cancellation and transfer policy.  

10) OFC is not responsible for any costs in relation to delegate travel or accommodation. For cancellations or refunds, delegates should refer to the provider's terms and conditions.  

DELEGATE INFORMATION

All delegate details will be kept for our records to communicate with you about the event and OFC, but we will not share your contact details with any other company or individuals.

CANCELLATION POLICY

The cancellation policy is as follows:

1. Cancellations 21 or more calendar days before the start of the conference: Full refund less a £25+VA Tcancellation fee per delegate;

2. Cancellations fewer than 21 calendar days before the start of the conference: No refunds will apply.

3. Tickets can be transferred to another delegate up and until Monday 2nd December 2024 at no extra charge. Any substitutions from Tuesday 3rd December 2024 will be subject to a £25 + VAT administration charge. Substitutions must be notified to the Secretariat via email with the following details:

  • Name of original delegate
  • Email Address
  • Telephone Number
  • Time and Date of Purchase
  • Number of tickets purchased and names of replacement delegates
  • Method of payment
  • Copy of the receipt of purchase

Any payment due for substitutions must be made in full at the time of request.

The cancellation procedure is as follows:

a) All cancellation requests must be sent by email to secretariat@ofc.org.uk

b) The following details must be included in the cancellation request:

  • Name of purchaser
  • Email address
  • Telephone Number
  • Time and Date of purchase
  • Number of tickets purchased and to be cancelled
  • Method of payment
  • Copy of the receipt of purchase

c) For the avoidance of doubt, cancellations by email will be deemed to have been received on date of sending.

d) The Oxford Farming Conference will acknowledge receipt of your request within 2 working days of receipt. The delegate should make a follow-up enquiry in the event that acknowledgement is not received.

e) If the terms of the Cancellation Policy are met, The Oxford Farming Conference will confirm details of any refund made to the purchaser via email on the date the refund is agreed. The Oxford Farming Conference will process the refund via the original method of payment within 28 working days of that date.

f) Under no circumstances will cancellation requests be considered after the event date.

You will be deemed to have accepted all terms and conditions at the time of completing your registration.
